XYZ University  (Deadline: January 26, 2015, 9am)
Enrolment Process
Enrolment in school serves as an important part in the life of a student as he enters a school.  It gives students the impression on how the institution manages and manipulates the entire body.  It forms part of the impression formation of the school as it is the first experience of all students.
As computer technology has become an important tool in human race, the student online enrolment system of XYZ university, developed by the Management Information Systems (MIS) and the Technical Services (TSO) of the university, enables their students to enrol in their subjects prior to the commencement of their semesters.  Aside from allowing students to enrol through the internet without experiencing the hassle of travelling to the campus, the system incorporated the business rules in the academic world-subject pre-requisites, student’s payment status, and other vital information about a student’s registration in the university.  It must be highligthed that one of the important things for a student must have for him to enrol in subjects for the following semester is his grades.
As a start, XYZ University and TSO headed by MR. A developed online programs which allowed teachers to submit their students’ grades online via the Academic Information System (AIS) and which allowed students to view their grades via the Student Information System (AIS).  It is also through SIS where students can choose courses to enrol in.
In essence, grading is an exercise in professional judgement on the part of the instructors and professors.  It greatly involves the collection and evaluation of students’ achievements or performance.  Through this process, various types of descriptive information and measure of students’ performance are converted into grades that summarize students’ accomplishments in class.
However, as the school opens the registration for the coming 2nd-5thyear students for the second semester of School Year 2011-12, several problems have been experienced by the school and of the students:
Non-enrolment of students due to late uploading of students’ grades by the teachers caused by several factors including computer literacy of senior teachers;
b. Slow updates of course and grade uploads due to slow connection and server traffic caused by the number of teachers and students using the program all at the same time, and;
c. For some reasons, the system’s database was hacked which resulted to mismatch of students’ grades and students’ identification.
Assuming you have read the entire PMBOK, please answer the questions below in no less than 3000 words.
Question:
If given the opportunity to be the Project Manager of the programs, what quick solutions to these problems can be introduced?

Project Management Case 4

LGU - Human Resource Information Systems (Deadline: December 15, 2014, 9am, 1000 words per question)
The Project
The project was an implementation of a biometric DTR (Daily Time Record) and Payroll solution aimed to eliminate ghost employees of a LGU (Local Government Unit). The project include hardware and software. The hardware was composed of Rack mountable, Layer 3 scanner biometric units, etc, the software would include Windows 2003 Advance Sewer, Microsoft SQL 2003 Standard Sewer and customized HRD software with interface to the finger scanner (including source code, user manual and end user training). The project time frame was to be completed in one year period.
Project Background
The LGU is a municipality located in the province of Bukidnon. The project was to be implemented by EMCA Corporation. EMCA Corporation is based in Cagayan de Oro City, with an outlet in the municipality where the LGU is located. EMCA Corporation is primary a computer shop specialization in selling IT solutions for home users and SME (Small & Medium Enterprises). Although EMCA sells software (mostly package software like OS, Office Suites and Games), it does not have a software development team for customers. EMCA however has an lT department which developed their in-house software and is currently busy in an in-house project.
Project Highlights
When the local outlet of EMCA heard about the project, EMCA tried to enter the project in supplying the hardware component limited only with desktops and network referrals and ask their Head office permission to enter the bidding process. However, when Head office heard of the project, head office wanted to offer the complete solution. The local outlet hesitated knowing that they do not have a development team and they were not familiar with high end sewers. Head office assured the local branch that they will take care of everything, hardware and software as well as the price quotations, deliveries, installations and end user training. The primary function of the local unit was to be the liaison to the LGU. True enough EMCA won the bid.
EMCA assembled a team to proceed with the project. EMCA supplied the hardware to the LGU. The installation of the hardware solution (including the networking and biometric machines) was subcontracted with a team from Cagayan. The hardware component was installed within two months within schedule. On the software side, the Operating System and SQL server were installed as scheduled.
The Customized Software was another story.

Project Management Case 3

Electronic Medical Record System in a Hospital
Introduction
A large hospital developed an Electronic Medical record System that did not work for its first 6 weeks of operation. Several months later, it was seen as “failing ti what what is was supposed to do”, and as “unreliable”.  This failure led to a major investigation which concluded that basic project management procedures had not been followed and that it would take at least 2 years to put things right.
It was a series of smaller oversight and failures that led to a catastrophic failure of the system as a whole, because of the interdependent nature of the tasks and responsibilities in the project.  Recommendations from the investigation in to the failure invited the hospital administrator to restructure the IT services team, develop and implement an information systems strategy for the hospital, introduce monitoring procedures for IT development projects, instigate formal procedures for employing external consultants and improve communication and built trust between medical practitioners and health communities.
The Failed Project
There was a failure on budgeting for the cost of these particular project deliverables.  An initial costing should been part of the business case made.  By presenting a full business case before the project is started, a commitment to resources is obtained from stakeholders and senior management.  The construction of a business case also ensures that time is allowed to fully assess costs and a benefit of any proposed new system before the project gets underway.
Inadequate attention to tendering and drawing up contracts for consultants seems to have been employed without proper tendering practices followed, and when engaged were not given written briefs.  It appeared that a contract committing the hospital to an expenditure of millions of pesos was signed with the database software suppliers without the hospital having taken legal advice about its contents.
Questions:
Assuming you have read the entire PMBOK, please answer the questions below in no less than 2000 words per question...   new cases will be uploaded ... MERRY CHRISTMAS ..
1. What do you think must be done to prevent failure of the implementation of this system?
2. As a project manager, how would you handle this type of project scenario?

Minor Field trip and Seminar Travel report

University of Southeastern Philippines
Bo. Obrero Campus, Davao City

TRAVEL REPORT
October 1, 2013

Seminar Overview

Our Minor field trip is scheduled to be on October 1, 2013, but before we had our minor and major field trip we had an Interpersonal skills seminar at Usep Social hall. We had lots of activities related in improving our interpersonal skills and understanding ourselves and others. On this day, we went to PSSCC at Sandawa, Matina, to have a visit at PSSCC or Public Safety and Security Command Center. It was my first time going there. The building is nice. The computers, the conference room and the room where we saw all the video footage of the different cameras in the city was really so amazing and exciting. We had a tour at the building, and while having tour they feed us with the knowledge about everything we see inside and on how do they really do things there. During the tour we asked so many questions because the tour awakened our curiosity. We were really all amazed by PSSCC. We only visited PSSCC in the morning and the visitation ended at about 11:00 am.

Day 1

Today I went on a seminar to Public Safety and Security Command Center (PSSCC) at Sandawa, Matina, Davao city. This is what they call the MMDA version of Davao City. This is the agency that is in charge of the safety and the security here in Davao city and is the ones monitoring the traffic conditions here in Davao.

What I learned?
I learned a lot of amazing things about their agency; I was able to compare it to its identical agency at Metro Manila which is the MMDA. I learned about how they manage all the data that are coming from all of the cameras that they have installed in the selected areas in the city. They have informed us on how they take actions from the concerns and the reports that are coming from the different local government agencies like PNP, 911. Also, they have partnered with IBM and, IBM supported PSSCC by donating computer devices and Cameras and everything PSSCC needed in improving their quality of service. I just also learned that there only 3 countries that has 911 and I am proud to say that Davao is one of them. I also learned that the PSSCC uses unified edge technology, where they centralize their communication. The unified edge is the line where the different government agencies are connected and are able to communicate at the same time to be able to respond to any problems that might quickly. In this way, dissemination of information is a lot faster and is more transparent. The PSSCC also use high-tech cameras like what we saw at the MMDA on our Major Field trip. This camera also, monitors specific crowded areas and are used to catch traffic violators. They have approximately 50TB for the storage of data up to 6 months, where 36TB is allotted for IOC and the 12TB is allotted for TOC. And after 6 months, all the data that is stored will be deleted. But they only choose those recordings that are important to remain in the storage device so that it can be used for future references like, for evidences.
